CALS Employee Time Records Mandatory Use

All CALS employees are required to submit an Employee Time Record (ETR) or Biweekly Employee Time Record (BETR) each payperiod, signed by both the employee and the supervisor (except that CALS unit heads are authorized to sign their own time records). This policy applies to ALL college employees, including unit heads, faculty, appointed personnel, postdocs, staff, and graduade and undergraduate student employees; and applies whether exempt or non-exempt, and whether benefits-eligible or not. Standard procedure is that the employee fills out and signs the ETR/BETR, obtains supervisor signature (except as noted above), and then the document is passed on to the payroll representative for entry into the payroll system. When it is necessary to deviate from this procedure due to absence of the employee or supervisor from the workplace, payroll representatives may enter data from an unsigned copy, but the signed form must be submitted as soon as the individual returns to the workplace, or mailed in promptly if an individual is physically located elsewhere.
