GENERAL GUIDELINES FOR USE OF MEETING ROOMS

Definition of Outside Group: Any group that is not directly affiliated with the College of Agriculture.

* Reservations for meeting room use must be made by the person responsible for the meeting on forms provided by the receptionist. The receptionist is not responsible for making reservations given to him/her verbally. Room availability may be determined by phone, but written reservations must be received and approved within 24 hours of the telephone call.

* All cancellations and changes to a reservation for a meeting room use must be made in writing, either on a new form and/or in a memo, or on the original Reservation Request Form and given or faxed to the Campus Agricultural Center Office. (FAX 795-3735)

*All meetings must be approved by the Director. He will need to know who will be there and who the responsible party will be.

 

RULES FOR USE OF MEETING ROOMS

Arrangements to obtain the key to the meeting room are to be made through the Office during the working hours (7:30 am - 4:30 pm, Monday - Friday) prior to the meeting time.

ONLY the room that you have reserved. Respect the space of other meetings that may be scheduled at the same time.

 

CHECKLIST TO FOLLOW WHEN LEAVING ROOM

_____ All tables, chairs and counter tops have been cleaned.

_____ Tables and chairs have been returned to position in which they were found.

_____ All extra chairs have been returned to their original place of storage.

_____ All lights have been turned out -- meeting room lights, outside lights

_____ All doors are securely locked

_____ Key placed back in lock box and box securely locked

As the person responsible for the meeting room, I understand that I am responsible for the condition of the room when we leave. Failure to abide by any of the rules for the use of the room can result in loss of use of the room and/or payment for damages.
