SPECIFIC DUTIES OF THE YOUTH ORGANIZATION ADVISOR

Chapter Management

1.Order necessary materials, notebooks, study sheets, manuals, guides.

2.Schedule meetings on school or appropriate calendar.

3.Schedule activities such as annual field days, fairs, shows, etc.

4.Set up and direct officer elections.

5.Order paraphernalia for meetings.

6.Plan budget with assistance of executive committee.

7.Check funds with organization treasurer and school bookkeeper.

8.Correlate classroom activities with organization activities.

9.Plan and coordinate field trips and activities.

10.Delegate authority to membership.

11.Create interest and enthusiasm.

Chapter Organization

1.Assist students to develop an effective program of activities.

2.Prepare budget with student assistance for the organization.

3.Prepare file for members’ activities.

4.Organize records for alumni.

5.Organize materials for contests and secure resource people.

6.Review bylaws and constitution periodically.

7.Develop and plan for training officers.

8.Train organization officers.

9.Organize and work with advisory committee.

10.Keep follow-up records.

11.Establish procedures for effective use of committees.

12.Establish open communications between advisor and members.

13.Establish regular meeting dates and location.

14.Sponsor initiation and other ceremonies.

15.Set procedure for keeping scrapbook.

16.Establish criteria for fund raising activities.

17.Plan and conduct contests and other activities.

Chapter Development

1.Train officers to perform duties.

2.Teach organization orientation classes.

3.Assist with the selection of activities and evaluate same.

4.Evaluate existing program.

5.Contact state or other leaders regarding procedure for establishing a new organization if needed.

6.Submit articles to local community newspaper.

7.Recruit local adults for advisory committees.

8.Invite appropriate officials to Awards Banquet.

9.Use contest and awards for advancing program.

10.Train parliamentary procedure team.

11.Make visitations.
