RESPONSIBILITIES OF THE ADVISOR FOR CONTESTS & AWARDS

I. Inform students of opportunities and requirements in contest and awards.

  1. Display awards in meeting rooms and on special occasions.
  2. Post announcements and contest forms on organization bulletin board.
  3. Include a teaching unit on contests and awards.
  4. Have former contest members tell of their experiences.
  5. Use organization committees.
  6. Use appropriate related materials from state and national offices.

II. Guide the organization in determining contests and awards in which to participate.

  1. Survey students to learn their interests in specific contests and/or awards.
  2. Have contest committee and/or chapter help decide in which contests and awards programs to participate.
  3. Counsel with students and parents.
  4. Correlate contests and awards with instruction.
  5. Use the following criteria in selecting contests/awards in which to participate
    1. Is it sound in terms of objectives?
    2. Are outcomes in line with advisor and member time requirements?
    3. Is there a better way to attain these objectives?
    4. Do they provide opportunity for broad participation?
    5. Are students interested and challenged?
    6. Will they be supported by the school and community.

III. Designate responsibility for help in planning the contest/awards program.

  1. Use standing and special committees.
  2. Use former participants.
  3. Use resource people, i.e. Alumni, Patrons, Parents, etc.
  4. Have officers make constant check on progress of activities.
  5. Divide responsibility in multi-advisor organizations.

IV. Get schedule on calendar (a factor of Topic II.)

  1. Advisor see that activity is on the school and/or community calendar.
  2. Maintain a 12 month organization calendar.
  3. Have a deadline committee to check on progress.
  4. Include a program of activities.

V. Train and prepare for participation.

  1. Continue to stimulate, develop interest, supply information and develop ability during regular classes and meetings.
  2. Use resource people in community.
  3. Have participants make reports of their progress to organization.
  4. Give some individual assistance to teams during final states of preparation.
  5. Teams should be an outgrowth of instruction.

VI. Evaluate participants on a local level.

  1. Conduct local contest.
  2. Use resource people to help conduct contest.
  3. Maintain standards and use accepted score cards.
  4. Develop a simple form to use in deterring winners and participants.

VII. Assist in completing forms, conforming to deadlines and other requirements.

  1. Have members develop initial information required in forms by giving copies of previously filled out forms to be used as guides.
  2. Give members form outlines to follow, helping and explaining where necessary.
  3. Review with member each item developed in No. l above.
  4. Have the information typed and presented neatly and accurately.

VIII. Provide transportation, housing, finance, clearance and supervision.

  1. Arrange in advance for:
    1. School clearance and notice to other teachers.
    2. Housing
    3. Transportation
    4. Supervision
  2. Budget carefully for participation.
  3. Provide appropriate types and numbers of chaperones.

IX. Provide suitable recognition.

  1. See that members as well as the winners receive recognition for their participation and accomplishments in all sources of publicity.
  2. Work closely with public relations people.
  3. Have students appear before school and/or community groups relating what they had to do for their accomplishments. (Guard against over-emphasis on winning.)

X. Evaluate individual and group results.

  1. Satisfactions and benefits derived from participation.
    1. Sample member opinion.
    2. Opinions of parents.
  2. Improve the mechanics of participation.
    1. Get suggestions for improvements for next time from members
    2. Ideas from other persons involved in planning, conducting, and preparing contests/awards.
